Case study · KZN Plant Hire

Live reporting for a plant hire business, built on the system it already ran.

A multi-branch plant and equipment hire operator in KwaZulu-Natal. The numbers that mattered already lived in their on-premise system, but turning them into a picture of the business meant compiling reports by hand. We built a platform integrated into that infrastructure, with no ERP replacement.

Live operational reporting

Daily operational numbers now appear automatically, pulled straight from the system the business already runs, without anyone compiling them by hand.

Which machines are out, and where

A current view of which plant and equipment is out on hire and at which site, instead of phoning around or checking a spreadsheet.

Changes in the business, as they happen

Movements in the numbers show up when they happen, not at month end when the moment to act on them has passed.

Trends across the business

How hire activity is moving over time, so decisions about the fleet and the branches rest on patterns rather than impressions.

Reporting time given back

The time that went into pulling reports together goes back into running the business.

Integrated, not replaced

The platform reads their existing system without writing to it. Nothing was ripped out, and the way the team captures work stayed exactly as it was.

The problem: the numbers existed, the picture did not

Like most established hire businesses, the information that mattered was already being captured. It sat in an on-premise operational system that the team relied on every day.

Turning it into a view of the business meant pulling figures out by hand, report by report. That took time every week, and the result described what had already happened. Knowing which machines were out on hire, and where, meant asking rather than looking.

What we built: a live reporting platform on their existing infrastructure

A platform integrated into the infrastructure they already had. It reads the operational system directly, without writing back to it, and turns it into live reporting, so the source system and the way work is captured did not change.

It shows the business its daily operational numbers, which plant is out on hire and at which site, changes in the business as they happen, and the trends across it over time.

How the work moves

Clarity before complexity.

First

Find

Established which numbers the business actually runs on, and where they already lived in the existing system.

Second

Build

Built a read-only reporting layer on top of that system, starting with one narrow reporting question and proving it against numbers the team already trusted.

Third

Embed

Put it in front of the people who use it every day, and let their feedback shape what came next.

Questions

Questions about this case study

Is this a real client?

Yes. KZN Plant Hire is a real plant and equipment hire business in KwaZulu-Natal. We publish it by industry and region rather than by name, with the owner's permission.

Did they have to replace their existing system?

No. The platform is integrated into the infrastructure they already had. It reads from their existing system rather than replacing it.

Why are there no percentages or hours-saved figures?

We only publish figures a client has signed off. Rather than estimate them, this case study describes what the platform does and how the business uses it.

Could something similar work for our business?

If your numbers already live in a system but still have to be pulled together by hand, the same approach usually applies. The first conversation is about your operation, not this one.
